Sponsorship Manager
The Sponsorship Manager will be responsible for securing and managing sponsorships for the AI in Healthcare conference. This role involves identifying potential sponsors, developing sponsorship packages (in collaboration with the conference task force), and fostering relationships with sponsors to ensure their needs are met throughout the event. The Sponsorship Manager will work closely with the rest of the conference task force to align sponsorship opportunities with conference goals and enhance the overall attendee experience. This position is critical for generating revenue and supporting the successful execution of the conference.
Responsibilities:
Develop and implement a sponsorship strategy, drawing from our previous strategies, to identify and engage potential sponsors.
Create comprehensive sponsorship packages that outline benefits and opportunities for sponsors (in collaboration with the Conference Coordinator, Marketing Manager, and Graphic Designer)
Reach out to potential sponsors through email, phone calls, and in-person meetings to secure commitments.
Build and maintain relationships with sponsors, ensuring their needs are met before, during, and after the conference.
Collaborate with the Marketing Manager to promote sponsorship opportunities through various marketing channels.
Coordinate with the Conference Coordinator to ensure proper recognition of sponsors during the event (e.g., signage, speaking opportunities).
Monitor and track sponsorship commitments and contributions against the conference budget.
Provide regular updates to the conference task force regarding sponsorship progress and opportunities.
Assist in the development of post-conference reports to evaluate sponsorship success and gather feedback for future events.
Manage any logistical needs for sponsors during the conference, including booth setups (in collaboration with the Booth Liaison) or special requests.
Required qualifications:
Strong background in sales, marketing, event management or similar roles.
Strong communication, negotiation and interpersonal skills, with the ability to build relationships.
Experience in sponsorship outreach or partnership management.
Ability to maintain organized records of sponsor agreements.
Desired qualifications:
Proven experience in fundraising, securing sponsorships or managing partnerships.
Knowledge of AI and healthcare sectors.
Experience in drafting sponsorship proposals as well as budgeting and financial tracking related to sponsorships.
Estimated weekly time commitment:
3-5 hours per week during the planning phase (up to 4 months before the event).
5-7 hours per week in the final 2 months leading up to the conference.
15+ hours during the week of the conference, with full-day availability required to manage sponsor needs and recognition.
Time commitment estimates are flexible depending on evolving event needs
